1. Who controls your data
Identity
The controller is Rafał Dudek, a sole trader operating in Poland under the business name Cleanzi Rafał Dudek, Polish tax ID (NIP) 6391936558, statistical number (REGON) 365765292, with registered office at ul. Jankowicka 23, unit 25, 44-200 Rybnik, Poland.
Privacy contact
For questions about personal data, email contact@cleanzi.eu.
Data protection officer
The controller has not appointed a data protection officer. The organisation-wide assessment of whether one is required must be completed before publication.
2. What data we receive
Source of the data
We receive data directly from you when you complete the waitlist form or send an email yourself. Merely visiting the website does not send us the content of a submission.
Types of data
The form may include your first name, business email, company, market, organisation type, team size, selected challenges and voluntary details about your role, sites, timing, pilot interest and organisation. An email may also contain its message, attachments and metadata. Please do not send special-category or unnecessary data.
3. Why we use the data
Handling the waitlist and enquiries
We use the data to confirm a waitlist request, manage withdrawal, provide availability and suitable next-step updates, or receive and reply to a message.
Discussing GO+ and optional marketing
We may assess whether a further conversation about the planned GO+ scope is appropriate. We send product and marketing information only under a separate, voluntary consent.
Security and legal claims
We may process necessary data to protect communications and to establish, exercise or defend legal claims.
4. Legal bases
Consent and steps at your request
The waitlist and separate marketing use the relevant consent, which you may withdraw at any time. Where an enquiry is directed towards a contract, taking steps at your request before entering into it may also be the basis.
Legitimate interests
In other cases, the basis may be legitimate interests in voluntary B2B communication, security and legal claims. We do not automatically reuse an email enquiry for separate marketing.
5. Recipients and transfers
Who may have access
Access may be given only to authorised people at Cleanzi and approved email, hosting and IT-support providers, to the extent needed to provide their services.
Providers and transfers
Direct email is handled through Google Workspace. Waiting-list entries are stored in Cloudflare D1 through OpenAI Sites. Brevo handles service messages and, after optional marketing consent is confirmed, receives the limited data needed for a separate marketing list. Provider infrastructure may involve processing outside your country under the safeguards offered by the relevant provider.
6. How long we keep the data
Waitlist and enquiries
A waiting-list entry is kept until consent is withdrawn or the waiting-list purpose ends, and is removed after 24 months without an update. An unconfirmed request for optional marketing updates expires after seven days. Non-contract email enquiries are kept for up to 12 months after the last substantive contact, unless a longer period is justified by a contract or legal claim.
Consent evidence and longer retention
A limited consent record may be kept for a separately justified period. Longer retention may be required by law, for performing a contract, or to establish, exercise or defend legal claims.
7. Your rights and choices
Data protection rights
To the extent provided by law, you may ask for access, correction, deletion, restriction or portability and object to processing based on legitimate interests.
Complaints
You may complain to the Information Commissioner’s Office or another competent data protection authority.
Voluntary contact and automation
Joining the waitlist or sending an email is voluntary. Without the required details we cannot manage the entry or reply. We do not make solely automated decisions with legal or similarly significant effects, and we do not profile people who submit details.
